About this privacy policy
In this policy:
- “we” “us” and “our” means CBC Facilities Maintenance Pty Ltd (ACN 058 616 989);
- "our online services" means our website cmms.cbcgroup.com.au, including demonstration or test websites ("CBC Website”), any related CBC Website service, mobile app or tool;
- “our services” includes our online services and other facilities management, reactive and proactive property maintenance services that we may provide from time to time; and
-your "information" means any information of a personal or confidential nature you post, link or otherwise make available through our services.

Information you provide to us
We collect information you provide directly to us or that your employer or head contractor has provided to us. For example, we collect information when you participate in any interactive features of our online services, fill out a form, request customer support, provide any contact or identifying information or otherwise communicate with us. The types of information we may collect include:
- your employer's details;
- your employment role;
- your name;
- your address;
- your telephone number;
- your email address;
- your criminal record history;
- the outcome of any working with children check;
- information regarding your use of our services;
- any information you are required to provide to perform the services you perform for us and our clients;
- any information that you are required to provide to us by law or by agreement; and
- any other information you may voluntarily provide to us.

Information we collect automatically when you use our online services
When you access or use our online services, we automatically collect information about you, including:
- Log Information: We log information about your use of our online services, including the type of browser you use, access times, pages viewed, your IP address and the page you visited before navigating to our services.
- Device Information: We collect information about the computer you use to access our online services, including the hardware model and operating system and version.
- Location Information: We may collect information about the location of your device each time you access or use one of our mobile applications or otherwise consent to the collection of this information.

Cookies are small data files stored on your hard drive or in your device memory that helps us to improve our online services and your experience, see which areas and features of our services are popular and count visits. Information we collect from other sources
In order to provide you with access to our services, to provide you with better service in general, or to verify information that you or your employer or head contractor has provided us we may combine information obtained from other sources (for example, a third-party service whose application you have authorized or used to sign in) and combine that with information we collect through our services.
Use of Information
We use information about you for various purposes, including to:
- Assess your ability and fitness to provide services to us;
- Enter into contractual arrangements with you;
- Provide, maintain and improve our services;
- Provide services you request, process transactions and to send you related information;
- Send you technical notices, updates, security alerts and support and administrative messages;
- Respond to your comments, questions and requests and provide customer service;
- Communicate with you about news and information related to our service;
- Monitor and analyse trends, usage and activities in connection with our services; and
- Personalize and improve our services.
By accessing and using our services, you consent to the processing and transfer of your information in and to Australia and other countries. In the case of transfer outside of Australia, we will take reasonable steps to ensure that the recipient is bound by appropriate privacy or data protection laws that apply in their jurisdiction or such other steps as may be permitted by the Privacy Act 1988 (Cth).

- To our compliance employees who have a need to know your information to the extent necessary for them to undertake their lawful duties.
- To our clients if we are contractually required to do so in the provision of our services;

- If we notify you through our services that the information you provide will be shared in a particular manner and you provide such information.
We may also share aggregated or anonymized information that does not directly identify you for the purpose of research and analysis.

We take reasonable measures to help protect personal information from loss, theft, misuse and unauthorized access, disclosure, alteration and destruction.
How we protect your personal information
The online service is hosted in Australia in secure, government accredited facilities. To help protect the privacy of data and personal information we collect and hold, we maintain physical, technical and administrative safeguards. We update and test our security technology on an ongoing basis.
We train our employees about the importance of confidentiality and maintaining the privacy and security of your information. Access to your personal information is restricted to employees who need it to provide benefits or services to you.
If a data breach occurs and there is unauthorised access to or disclosure of your personal information we will be required to comply with the Notifiable Data Breaches (NDB) Scheme. The NDB Scheme requires us to notify you and the Office of the Australian Information Commissioner of a data breach of your personal information that has occurred on or after 22 February 2018 and that is likely to result in serious harm to you.
Your Information Choices

Location Information
When you first launch any of our mobile applications that collect location information, you will be asked to consent to the application's collection of this information. If you initially consent to our collection of location information, you can subsequently stop the collection of this information at any time by changing the preferences on your mobile device. [If you do so, our mobile applications, or certain features thereof, will no longer function.] You may also stop our collection of location information by following the standard uninstall process to remove all of our mobile applications from your device.

What happens if you don't provide personal information?
If you do not provide the personal information that we request:
- We may not be able to provide all or some of our services to you;
- You may not be able to use our services; and
- You may not be able to provide services to us or our clients.

Is your information accurate and can you access it?
You may request access to the personal information that we hold about you. You do not need to provide us with a reason for accessing your personal information. However, you will need to provide us with sufficient proof of identity.
If you believe that the information we hold about you is incorrect or incomplete, you can contact us and we will take reasonable steps to ensure that it is updated. Our contact details are at the end of this policy.
We may refuse access to personal information for certain reasons including when:
- Permitting access would pose a serious threat to the life or health of any person;
- It would unreasonably affect the privacy of others;
- The request is frivolous or vexatious;
- Providing access would be unlawful or we are permitted to refuse access by law; or

What if you make a complaint?
If you have any reason to think that your privacy has been breached in any way, you should contact us immediately in writing.
When a complaint is made the following procedure must be followed:
- You must make your complaint in writing to the contact details at the end of this policy;
- We will send you a complaint form to fill in and send back to us. We will then acknowledge receipt;
- Your complaint will be investigated and a report will be sent to you by us;
- If your complaint relates to incorrect personal information, your records will be amended and acknowledgement of the correction will be sent to you; and
- If you are not satisfied with our investigations, you may have the right to complain to the Office of the Australian Information Commissioner.

General information
This policy was issued in March 2018 and will remain current until a new policy is put in place. We may replace this policy with a new policy at any time by posting the amended policy on the CBC Website.
Although we intend to observe this policy at all times, it may be necessary for us to act outside this policy. We may act outside of this policy subject to any contractual rights you have and any rights you have under the Privacy Act 1988 (Cth).
